For Site Agents & Payroll Officers
The site agent is where the site meets the money. You are the one reconciling what the foremen submitted, checking it against the work on the ground, and getting payroll approved without holding up the crew. FundiPay is built for that job: one place to reconcile attendance, approve the wage run and keep every statutory return in order.

Reconcile attendance without the chase
Instead of collecting three foremen's lists and comparing them by hand, you see every site's locked muster roll in one view. Discrepancies — a worker flagged absent by one gang and present in another, a leaver still appearing, a rate that does not match the agreement — surface before payroll, not after the money has gone out. Reconciliation becomes a review, not a reconstruction.
Approve payroll with the evidence in front of you
The recommended workflow keeps control and evidence together.
- Foremen lock the day's attendance.
- You reconcile attendance, rates and gang assignments.
- Approve the wage run, and it pays out by M-Pesa B2C.
- Watch the run complete live and resolve any failed payments.
Statutory returns under control
PAYE, NSSF, SHIF and the Affordable Housing Levy are all due by the 9th of the following month, and late returns are a compliance risk the site should not be carrying. Because FundiPay computes each deduction as payroll runs, the figures and the per-worker records behind them are ready well before the deadline. You are producing returns from clean data, not rebuilding them from a cash book.
A wage-cost view you can defend
When the contractor or developer asks why labour cost moved this month, you should be able to answer with records: attendance, rates, days worked, deductions and net pay, per site and per worker. That is the difference between being the person who administers payroll and the person who controls it. FundiPay gives you the second job, with the numbers to back it up.
Frequently asked questions
Can I approve payroll for several sites at once?
Yes. You can review each site's locked attendance and then approve a consolidated run, or approve site by site. The payroll officer controls the level of consolidation.
Are the statutory figures ready before the 9th?
Yes. Deductions are calculated as each payroll run executes, so the per-worker records for PAYE, NSSF, SHIF and the housing levy are available well ahead of the monthly filing deadline.
What happens if a payment fails during the run?
Failed B2C payments are flagged immediately in the live run, usually because a number is wrong. You can correct the worker record and retry without rerunning the whole payroll.
Can I export the records for audit?
Yes. Muster rolls, wage runs and deduction records can be exported for internal audit, developer reporting or NCA inspection, so the paper file is assembled in minutes rather than days.
